Terms of Service

These Terms of Service (“Terms”) govern your access to and use of Approvee, operated by Approvee (“we,” “our,” or “us”). By creating an account or using the platform you agree to these Terms. If you are using Approvee on behalf of an organization, you represent that you have authority to bind that organization.

1. The Service

Approvee is a software platform that helps real estate brokerages collect, organize, and analyze rental applicant documents using artificial intelligence. The platform generates screening summaries based on information submitted by applicants. We are a software tool — we do not make leasing decisions, provide legal advice, or guarantee the accuracy of AI-generated outputs.

2. Account Registration

To use Approvee you must create an account with a valid email address and a password of at least 8 characters. You are responsible for maintaining the confidentiality of your login credentials and for all activity under your account. Notify us immediately at support@approvee.org if you suspect unauthorized access.

You must provide accurate, current, and complete information during registration and keep it up to date. We reserve the right to suspend or terminate accounts with inaccurate or incomplete information.

3. Free Trial

New accounts start on a free trial that includes up to 5 applicant screenings and lasts for 7 days from the date of registration. At the end of the trial period, access to new screenings will be restricted until a paid plan is selected. Data collected during the trial is retained and accessible upon upgrading.

4. Paid Plans and Billing

Paid plans are billed monthly or annually as displayed at the time of purchase. All payments are processed by Stripe. By providing payment information, you authorize us to charge your payment method on a recurring basis until you cancel.

• Plan prices and features are listed on our pricing page and may change with 30 days’ notice.
• Subscriptions auto-renew unless cancelled before the next billing date.
• Refunds are not provided for partial months. If you cancel, your access continues until the end of the current billing period.
• If a payment fails, we will retry for up to 7 days before suspending your account.

5. Acceptable Use

You agree to use Approvee only for its intended purpose: evaluating rental applicants for properties you manage. You must not:

• Use the platform to discriminate against applicants on the basis of race, color, religion, national origin, sex, familial status, disability, or any other protected class under applicable fair housing laws
• Upload fraudulent, fabricated, or falsified documents
• Attempt to reverse-engineer, scrape, or otherwise extract data from the platform in bulk
• Share your account credentials with users outside your organization
• Use the platform for any unlawful purpose
• Interfere with or disrupt the platform or its infrastructure

We reserve the right to suspend or terminate accounts that violate these terms without notice.

6. AI-Generated Content Disclaimer

Approvee uses AI (Anthropic’s Claude) to analyze applicant documents and generate screening summaries. You acknowledge that:

• AI outputs are not guaranteed to be accurate. Documents may be misread, figures may be misextracted, and summaries may contain errors.
• AI outputs are not legal advice and should not be treated as a substitute for professional legal, financial, or compliance guidance.
• You are solely responsible for any leasing decision made using Approvee, including compliance with fair housing laws and local regulations.
• We recommend independently verifying all material figures before making a final decision.

7. Applicant Data and Privacy

When applicants submit documents through your portal links, they are submitting data to your organization via the Approvee platform. You are responsible for:

• Obtaining any necessary consent from applicants to collect and process their personal and financial information
• Complying with applicable privacy laws (including state-level consumer privacy laws) in your jurisdiction
• Not retaining or using applicant data beyond the purpose of evaluating their rental application

We process applicant data as a service provider on your behalf. Our handling of that data is described in our Privacy Policy.

8. Intellectual Property

The Approvee platform, including its software, design, and AI models, is owned by us and protected by intellectual property law. You retain ownership of all data and documents you upload. You grant us a limited license to process that data solely to provide the service.

AI-generated screening reports produced by the platform are provided to you for your use. We do not claim ownership of the content of those reports.

9. Termination

You may cancel your account at any time from your account settings or by contacting support@approvee.org. We may suspend or terminate your account immediately if you violate these Terms, if payment is overdue by more than 14 days, or if we are required to do so by law.

Upon termination, your access to the platform ceases. Your data will be deleted within 30 days of account closure, except where we are required to retain it by law.

10. Limitation of Liability

To the fullest extent permitted by law, Approvee and its operators shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or goodwill, arising from your use of the platform, even if we have been advised of the possibility of such damages.

Our total liability for any claim arising out of or relating to these Terms or the service shall not exceed the amount you paid us in the 12 months preceding the claim.

11. Disclaimer of Warranties

The platform is provided “as is” and “as available” without warranties of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not warrant that the platform will be uninterrupted, error-free, or free of viruses or other harmful components.

12. Changes to These Terms

We may update these Terms at any time. We will notify you of material changes by email or by posting a notice in the platform. Your continued use of Approvee after the effective date of updated Terms constitutes acceptance. If you do not agree to the updated Terms, you must stop using the service and may cancel your account.

13. Governing Law

These Terms are governed by the laws of the State of New York, without regard to conflict of law principles. Any disputes arising under these Terms shall be resolved exclusively in the state or federal courts located in New York County, New York.
